Using Your Payroll Processor

Companies that use a computerized payroll processor system usually have a dedicated staff member that operates it.  In order to use a payroll processor, this staff member will need to be trained on the software, the relevant accountancy practices, and statutory requirements that apply to the company.  Of course, if your payroll processor software should happen to crash, the staff member responsible will need to know how to process the payroll by hand.

After you have entered your employee’s information in the payroll processor system, make sure you have printed back up copies of the data stored off site so that you can still pay your employees when needed.  If the payroll processor is computerized, keep a back up disk with the printed copies.

Personal, private information that is required for employee records need only be kept in the payroll processor systems for the required length of time.  This time frame usually depends on how long the employee is with the company.  The payroll processor software will make sure that the information is kept confidential and secured with the proper encryption methods.  Payroll processor software will require passwords and other physical protections as defined by whatever privacy act your company falls under.

The same encryption methods should be used for paper based information that is produced by your payroll processor system.  Of course, you will need to lock them away in fire proof safes and other containers.  Test runs, trial information, and anything used to verify that the payroll processor system is operating properly should be destroyed.

It is best if two people are responsible for payroll and that both of them know how to use your company’s payroll processor.  This helps with security and ensures that a method of checks and balances are in place.  Both of you can use the payroll processor to input date, authorize the payroll, and back each other up in the event that one or the other is sick or on vacation.  Payments should be made with the payroll processor by the authorized staff member based on whatever protocol is set up in the company.

Your company’s payroll is helped by the use of a payroll processor.  They ensure that all of the information is free from discrepancies and errors, and help provide comprehensive checks and balances systems to your company to make sure that your employees is paid properly.
